Meeting was called to order by Amber Crist with introductions of those in attendance.

 

Motion to Approve Minutes from June 10, 2008: (Dalena Riggs/Chuck Conner) Motion Approved.

 

Next Steps from 6-9-08:

 

  1. Statewide SOLE site will be expanded (ongoing) and a follow-up with faculty development participants that may want to serve as facilitators for SOLE will be done by April.
  2. April will send quarterly updates as needed. (ongoing)
  3. Once specific data is collected, Hilda will provide the information she will need regarding the recruitment of Mental Health providers/sites that will accept students.  She will advise on identifying Mental Health providers/sites that will accept health professions students for rotations targeting veterans. (Identify location, specialty of providers, does the provider cover multiple sites, are they trained in PTSD, etc.)  (ongoing)
  4. The Legislative Awards Committee will need to develop criteria for the Legislative Award and provide that information to Hilda.  (ongoing)
  5.  Derrick continues to work on the joint website.  He will send out a web link for feedback which will include a deadline.   Please send suggestions to Derrick at dday@hsc.wvu.edu
  6. Derrick will delete the old the Site Coordinator list serve.  He will e-mail Coordinators to let them know when it has been deleted.
  7. April will send out The DRAFT Service Learning Policy 2008-03 to the Committee once she has incorporated the changes the Joint Community Outreach and Curriculum Committee and Schools Committee has suggested, for further review from the WVRHEP/AHEC Joint Coordinators and Center Director's Committee.
  8. April will send out information concerning the updating of the Site capacity information.
  9. Kathryn Greenlief will share the NWVRHEC Field Faculty Preference worksheet as an FYI for Coordinators.
  10. The Retreat Committee will send out dates for the spring 2009 retreat.  The committee will also be discussing topics, and locations for the Retreat.
  11. Sandra will find out further information on the GEC Survey in regards to a conflicting survey being done at the WVU Charleston Division. (on hold)
  12. Please identify people in your communities/boards that would be willing to hold face to face meetings with Legislators in your area that are on the health, education and/or finance committees, and report back to Lew Holloway at lew.holloway@nwvrhec.org for preparation for the meeting as well as for reporting purposes.   This will replace the 3x3's to be sent to April.
  13. Please have the "Save Faces" grant applications in to Dr. Richard Meckstroth no later than August 1, 2008.  If you are interested in the child oral health program, please send a letter of intent to Dr. Meckstroth or an e-mail of intent to him so funds may be reserved.  If you have questions regarding the grant please contact Dr. Meckstroth by e-mail at rmeckstroth@hsc.wvu.edu or by phone at 293-5912

 

Guest Speaker: Kimberly Colebank, WVU Center for Civic Engagement

 

Kimberly is the Director of the WVU Center for Civic Engagement (CCE).   Her duties include creating learning opportunities in community outreach, Civic placements, and course development for students and faculty.  She is also responsible for university-community relationships, assessment of university outreach efforts and civic engagement curricula consultation.  Kimberly spoke on the mission and vision of the CCE, along with showing the committee various teaching tools for the community partners, service-learning and curriculum implementation.  Many committee members found her tools to be helpful and would like to have her speak or consult with them on the service-learning tools.

RHEP Updates:

 

April reported that Dr. Meckstroth and Gina Sharps wanted to remind the coordinators and center directors about the "The March of Dimes Project to Promote Oral Health during Pregnancy".   Please e-mail Dr. Meckstroth at rmeckstroth@hsc.wvu.edu or Gina Sharps at gsharps@hsc.wvu.edu a letter of intent if you are interested or a letter of regret if you are unable to participate.

 

Annual Awards Dinner Update:

 

The nominations for the Earl Ray Tomblin Legislative Award were due Friday, September 5, 2008.  The turnout of nominations was good, and we appreciate everyone's help in the nomination process.  Packets will be sent out to the selection committee by Thursday, September 7, 2008.  We are setting a deadline for the return of the nominee winner from the selection committee of Thursday, September 18, 2008. Hilda will contact President Tomblin with the selection, once the selection has been made.  After President Tomblin has been notified, we will move forward in the planning and fund raising for the dinner.

Reminder that the Annual Awards Dinner will be held Monday, March 2, 2009 at the Embassy Suites Charleston, WV.

 

Update on DRAFT Policy 2008-03 "Guidelines for Service-Learning Projects for Health Profession Students" (Appendix 1)

 

Concerns were stated regarding whether this policy will be creating more work for already overwhelmed Coordinators and Center Directors.  It was discussed and they were reminded of the Service-Learning Form and directory that is being created at the same time as this policy.  This will hopefully alleviate some of the work to create Service-Learning Projects in a consortia or center.

 

April will send out an e-mail with the Service-Learning form link for review as well as a version of DRAFT Policy 2008-03 for review.  Coordinators and Center Directors are to expect the Policy e-mail in the next week so comments can be e-mailed back to April by September 23, 2008.

The Service-Learning form link will be sent out in the next month for review and comment.

 

AHEC Update:

 

Sandra reported that this is a big reporting period for federal data and critical data to the NAO.  A grant application for an AHEC Model State-Supported grant is due in January.  We just received a Basic/Core continuation grant, which was reduced by 10%.  All programs across the nation received the same reduction in their grant awards.  Those Centers receiving grant funds this year are NWVRHEC and Central Counties AHEC.  Also, AHEC is up for reauthorization this year.

 

Office of Rural Health Update:

 

The SEARCH Program was terminated federally by the decision of the director of HRSA.  There are some efforts by a national group working to get the SEARCH Program reinstated.

 

Legislative Updates:

 

Hilda reminded the Coordinators and Center Directors to make appointments to visit with Legislators before the Legislative session begin.  Handouts were distributed in the meeting for the visits.  Hilda explained the information on the handouts and how to present the information to the Legislators.

Hilda will have Kim send out copies to the Coordinators and Center Directors. Please contact Hilda with any questions concerning the handouts.

 

Hilda and Lew Holloway would like to know who has scheduled legislative visits.  Please e-mail Hilda at hheady@hsc.wvu.edu and Lew Holloway at lew.holloway@nwvrhec.org.  They would be more than willing to accompany anyone on these visits, if their schedules permit.

 

New Business:

Forming of a Legislative Committee:

 

It was decided that a Legislative Committee would be needed to arrange the Legislative Day events.  Volunteers at this time are: Georgianna Tillis, Penny Asbury, Sandra Pope, Lora Adkins, Sonnie Strader, Amber Crist, Chuck Conner, and April Vestal.  If you would like to be a part of this committee please contact April Vestal at avestal@hsc.wvu.edu. 

 

Patricia Crawford sent word that the WV School of Osteopathic Medicine (WVSOM) will be holding their Rural Health Fair on December 2, 2008.
