RHEP Site Coordinator Meeting

Present: Elizabeth Richmond, Steve Fumich, Sonnie Strader, Jane Sullivan, Malinda Turner, Anna Reno, Steve Thomas, Lynne Sandy, Chuck Conner, Shannon Bell, Derrick Day, April Vestal, Penny Rose, Lora Adkins, Debra Riggs, Judy Koehler, Hilda Heady, Kathryn Greenlief.

 

Check - In : Elizabeth Richmond led check-in by asking each person to introduce themselves to the newest Site Coordinator with a descriptive word beginning with the same letter as their first name, followed by their first name.

 

Approval of Minutes: The minutes were approved with one correction: October 11th was listed as an upcoming meeting date. The correct date should be October 14th.

 

Next Steps: The next steps were reviewed.

 

Office of Rural Health Update: April Vestal reported that the WVU School of Nursing will be holding an orientation for their students on August 18th. She asked that any site coordinators that would be available to attend the orientation and present an overview or RHEP to the students please email her and let her know.

            April spoke with JoAnn Raines about the Marshall University School of Medicine Rural Health Fair. Due to budget cuts, the school will not be conducting the fair this year. April reported that JoAnn's secretarial position has also been cut from their budget. A discussion ensued and concerns were shared about Marshall's decision. April suggested a small group of Site Coordinators talk to JoAnn and Bob Walker to see if there is any way the group could help facilitate the continuation of the Rural Health Fair.

            Margaret Novacich needs the Site Coordinators to be sure to have all community board members sign a "Conflict of Interest" form at the beginning of each fiscal year and keep them on file. This is in compliance with Policy 2002-02.

            April brought some CD-ROMS from the tobacco grant for anyone interested. Preceptors who view the CD, "Tobacco Cessation Strategies for Healthcare Providers", can receive continuing education credits.

            The Faculty Development Conference brochures are going out this week. All preceptor addresses need to be current in TRACKER, as this is the list the addresses are obtained from. Site Coordinators were asked to help promote the Faculty Development Conference and help field faculty/preceptors register. If the Site Coordinators would like to have some professional development sessions offered during the Conference, please let April know as soon as possible so she can arrange it. All Coordinators are encouraged to attend the Conference.

            Hilda Heady reported that the Kellogg Foundation is celebrating their 75th anniversary and they are interested in coming to West Virginia October 9th - 11th to visit. They are especially interested in visiting the RHEP sites that were originally Kellogg sites. Hilda suggested they visit someone during their CARDIAC project.

            Pappy MacIntosh passed away over the summer. Hilda passed around a card to Annie for all to sign.

            Hilda reminded everyone that the Program is up for reauthorization during the coming legislation session. She will let us know when the committee will review the PERD report. Be thinking of good candidates to go with Hilda for this.

            Hilda stated there needs to be a full-scale publicity campaign for the program now. She would like each site to send her a three- to four-sentence testimony from a group of RHEP supporters within each consortium - people who have been impacted by the program or recruited to a rural area. (This could be from administrators, students, community leaders, field faculty, etc.) Each site also needs to do at least three presentations, news articles and talk radio shows, if available, by the end of the year.

 

Committee Reports:

            Committee reports were given for the following committees: Evaluation, Community Outreach/Curriculum, Schools, IT and Finance.

 

Process Group Agreements:

            The sub-committee has not met to work yet met to work on the job descriptions for the various Site Coordinator positions. Chuck and Robert will give a GASP presentation at the next meeting.

 

Review of WVRHEP Policy 1995-04:

            A discussion was had among the group regarding the pros and cons of the policy revisions. April will share the groups concerns with the Faculty Development Committee. Any additional comments need to be sent to April by August 8th, 2003.

 

Helpful Hints, Other Site Coordinator Concerns:

            Anna asked if anyone would be willing to be Jane's mentor. Although everyone offered his or her support to Jane, Chuck volunteered to be her mentor. Derrick reminded everyone of the golfing outing being held after the Faculty Development Conference. The cost is $79 per golfer and is open to all RHEP, Legislators, Schools, etc. Steve Fumich announced that the towns of Elizabeth and Richwood are the new Recruitable Communities.

 

Next Steps were reviewed by Penny.   They were:

 

  1. Kathryn to continue checking on site coordinator meeting location in Braxton County on off panel meeting dates

 

  1. Conflict of Interest Statements (Policy #2000-02) need to be filled out on all board members of each consortium yearly and kept on file in your office

 

  1. April ask each site coordinator to encourage their field faculty to sign up and attend this year's faculty development conference.  Site Coordinators are also encouraged to attend

 

  1. All Site Coordinators are to send Hilda a 3-4 sentence testimony from a group of RHEP supporters in your consortium (administrators, students, field faculty, community leaders, and business leaders) by September 1, 2003.  Each Site Coordinator to do at least 3 presentations, news articles and Radio Talk Shows (if available) in your consortium by December 31, 2003

 

  1. Site Coordinators are to send on-going research projects to Jodie Jackson by email by August 8, 2003

 

  1. IT Committee needs input from site coordinators and field faculty on their needs.  Derrick will be working on making a link to each consortium's county profiles on their webpage.

 

  1. Site Coordinators to prepare 2004-2005 budgets and send in to Margaret by August 1, 2003.  Any site coordinator that would like for Margaret to plug in their budget figures for them and send to them for review and board approval, she needs to know by July 23, 2003 (She will be on vacation next week)

 

  1. Email April any comments or questions concerning policy #1995-04 "Components of IDS Experience" by August 8, 2003.

 

  1. Site Coordinators are to send a list of their Family Care Physicians, the address of their site and the name of their Administrator to Steve Fumich @ fumichs@rcbhsc.wvu.edu.
