RHEP Site Coordinator Meeting

John Jones Conference Center - WVU HSC

The meeting was called to order by Elizabeth Richmond. 

 

Those attending in addition to Richmond were RHEP staff Lora Adkins, Anna Reno and Rhonda Miller, Kathryn Greenlief, Chuck Conner, Sonnie Strader and Teresa Wilson, Georgianna Tillis, Penny Asbury, Malinda Turner and Amber Crist; and ORH staff Hilda Heady, April Vestal and Derrick Day.

 

Approval of September and November meeting minutes was passed on a fist or five showing.

 

Next Steps were reviewed by Penny.

 

1.     Email Hilda with any issues you may have that the Deans of the schools may need to address. (completed)

 

2.     Site Coordinators need to send Chuck issues about scheduling and requests of student in tracker. (completed)

 

3.     Anna will send the group a copy of the 2006 Residency/Fellowship Placement Report. (completed)

 

4.     Site Coordinators need to check and see if their site details are up to date on tracker, send any updates to Derrick along with any FAQ's to be posted on the web.  (on-going)

 

5.     Send Hilda examples of housing and budget challenges you face by October 15, 2006. (completed)

 

6.     Send Hilda your concerns for how you will accommodate the increase student volume. (completed)

 

New Next Steps November 8, 2006

 

7.     April will email SC's more details on Strategic Plan  (completed)

 

8.     April will discuss/email Margaret and Hilda that the Finance Committee needs to report on the status of hiring a Director of Development (community members and SC's are concerned)

12.  Send Hilda any issues with Housing Capacity, Field Faculty Capacity and budget restraints due to and increase in student volume ASAP.  (completed)

 

Guests

 

SEARCH - Guest Jacki Masi passed out new applications for SEARCH grant and discussed new guidelines.  Dental and medical students are required to have 2 years of education while all others only have to have 1 year.  She also pointed out the "How To Fill Out" section which she feels will assist students in competing the applications.

 

Cancer Information Center - Guests Sara Jane Gainor, Pat Smith, Kelli Ross and Amy Allen shared information on the NCI Mid-Atlantic office housed at WVU.  They discussed opportunities for collaboration with RHEP.

 

Legislative Update:  Amber Crist reminded SC's that RHEP and AHEC should display jointly on February 5th.  Georgianna reported that each Legislator had been invited to a CARDIAC screening at the Capitol.  She furnished a copy of the letter and voucher that was sent to each.  SC were encouraged to contact each of their legislators to remind them of the screening and make appointments for visits on that day.  First Lady Gayle Manchin will be the keynote speaker for the banquet.   

 

Office of Rural Health

 

April reviewed the activities for the day.  She also reported that the Faculty Development brochure will be mailed this week.  FD will be held at the Waterfront Place in Morgantown on March 3rd from 9 AM to 5 PM - one day only.  Rooms will be held until February 15th at the meeting rate of $89.

 

Hilda reported on Legislative Day activities and reminded the group that the First Lady of WV will be our Keynote Speaker at the banquet.  She discussed the Talking Points that have been emailed for use during discussions with Legislators.  She reported that we have passed the One Millionth Community Service Contact.  A press release will be issued on the event.    She also reported that strategies for long-term funding through the Legislature are being discussed within HEPC leadership.  More details later on this.

 

Other SC Concerns/Helpful Hints/Appreciations -

 

Hilda thanked the group for the well wishes during her Family Leave time.

 

Georgianna reported that CARDIAC and RHEP may be looked to for support in the collection of BMI's at the Kindergarten and Second Grade levels.  How this will happen is still up in the air but she will keep SC's posted as information is available.   She also reported that the Summer Training for CARDIAC has been scheduled for August 6-7 at Sutton Days Inn.  

 

 

Next steps were reviewed by Kathryn to include:

 

  1.  Site Coordinators need to check and see if their site details are up to date on tracker, send any updates to Derrick along with any FAQ's to be posted on the web. 
  2. April will discuss/email Margaret and Hilda that the Finance Committee needs to report on the status of hiring a Director of Development

  4. Send Georgianna students' names that can help w/CARDIAC screening on Legislative Day
  5. Melinda will send SC sample of handouts to Legislators on Legislative Day
  6. Continue sending April updates on 3X3 visits
  7. April will be sending SC PR release (1.2 million contacts)
  8. Send dates to Kim and copy Margaret & Hilda for Board 2007 local board meeting dates so Hilda can schedule a visit.
  9. Let Georgianna know if you want to serve on CARDIAC Committee for Aug. 6 & 7 training
